Junior Customer Service Specialist (m/f) - Fixed-Term Contract – approx. 2 years
Location: Warsaw, Poland (office-based, 1 day home office per week)
For our Customer Service team, we are currently looking for a Junior Customer Service Specialist to join us on a fixed-term basis (approx. 2 years) as a replacement for an employee on leave. The position is office-based in Warsaw, with the possibility to work from home one day per week.
This role plays a key part in delivering high-quality service to our customers and distributors across the CEE region.
Your Responsibilities
- Support the team in managing and coordinating customer and distributor inquiries
- Process customer orders accurately and in a timely manner
- Prepare and maintain customer order reports and related documentation
- Track shipments and ensure timely delivery to distributors and direct customers
- Handle customer complaints, ensuring timely resolution in line with internal SOPs
- Escalate complaints where required, including cases with potential commercial or regulatory impact
- Cooperate closely with internal stakeholders (logistics, warehouse, finance) on order and shipping topics
- Process invoices and raise purchase orders where required
- Ensure accurate data maintenance in internal systems
- Comply with internal policies, procedures, and OSH rules
- Perform additional tasks assigned by the supervisor in line with qualifications
Your Profile
- Experience in customer service, administration, or a similar role
- Administrative experience with a proven record of accurate data entry

Native-level Polish (written and spoken)
- Very good English skills (written and spoken, minimum B2 level)
- Good command of Microsoft Office; experience with ERP systems (SAP or Microsoft Dynamics AX) is an advantage
- Strong communication and interpersonal skills
- High attention to detail and strong organizational abilities
- Customer-focused mindset and solution-oriented approach
- Ability to work effectively in a team and manage priorities
