Customer Service Specialist

 

This role acts as the interface between the customer and Dentsply Sirona, delivering excellent customer service by responding to customer calls and emails, including case creation, resolution, and documentation. Dentsply Sirona Iberia is looking for a Customer Service Specialist to join its offices in Barcelona.

 

Responsibilities:

 

The main responsibilities of this role include, but are not limited to:

• Provide support to customers and sales representatives to ensure proper order processing
• Respond to customer calls and inquiries
• Gather required information, create cases, and follow up/escalate until resolution
• Support and verify customer master data creation
• Process orders
• Review, release, and manage orders entered by the sales team
• Monitor shipments through various ERP systems and tools (Dynamics AX, Movex, SAP, WebShop, and email)
• Manage customer issues end-to-end:

  • Document all relevant customer identification details, contact information, and nature of the issue
  • Escalate issues, when necessary, to the appropriate person or department
  • Maintain regular and timely communication with both management and customers to keep stakeholders informed on status and final resolution
    • Collaborate and communicate regularly with all internal teams (Customer Service, Sales, and Finance)

 

Requirements:

 

• Strong verbal and written communication skills
• Experience in administrative processes and documentation
• At least 2 years of experience in customer service
• Experience in the dental market is a plus
• Ability to handle difficult or emotional customer situations in a timely and professional manner
• Strong IT skills with experience in software applications, preferably Microsoft Office, Dynamics AX ERP, browser-based tools, and basic hardware
• Experience with CRM systems (preferably Salesforce.com) is a plus
• Passion for delivering excellent customer service, with strong interpersonal skills such as relationship building, active listening, and effective questioning
• Excellent problem-solving skills
• Strong organizational skills with the ability to manage multiple tasks simultaneously with a high level of professionalism and prioritization
• Strong documentation skills to ensure key data is accurately recorded and easily retrievable
• Basic reading and writing skills in English
