Role Summary
Own and deliver the end-to-end planning and execution of clinical education programs, customer events, and internal meetings across the region. Act as a project manager and operational partner to Marketing, Sales, and Clinical Education teams to ensure high-quality, compliant, and cost-effective delivery.
Key Responsibilities
Event Planning & Execution
- Build and manage a rolling 18-month event calendar (trade shows, dental exhibitions, PEERS, training programs, KOL engagements, internal meetings).
- Lead end-to-end event delivery—planning, logistics, registrations, travel, on-site execution, and post-event closure.
- Manage training materials, kits, and equipment logistics.
Stakeholder & Vendor Management
- Partner with Clinical Education, KOLs, Sales, and Marketing to define and deliver event requirements.
- Act as the primary point of contact for participants and internal teams.
- Identify, negotiate, and manage vendors, hotels, and contracts.
Budget, Compliance & Governance
- Plan and track event budgets, ensuring cost efficiency and accountability.
- Ensure adherence to compliance, legal, and corporate meeting policies.
- Support development of best practices and standardized processes.
Clinical Education Operations
- Coordinate CE programs including data management, invoice approvals, OPL payments, and PPSA tracking.
- Maintain OPL databases and manage clinical content (case reports, images, videos).
- Generate monthly reports and insights by product and region.
Digital & Content Management
- Manage learning platforms (Academy) and coordinate with vendors for content updates.
- Maintain SharePoint and marketing collateral repositories for easy access and accuracy.
Program Support & Continuous Improvement
- Support Train-the-Trainer initiatives, dentist training programs, and university collaborations.
- Track event performance and bring insights and improvements based on data and industry trends.
Typical Background
- 3+ years in event management / meeting planning / clinical education coordination
- Strong project management & multitasking ability
- Proven vendor negotiation & contract management experience
- Excellent stakeholder management & communication skills
- High attention to detail with strong operational discipline
- Proficiency in MS Office & collaboration tools (e.g., SharePoint)
- Ability to handle confidential information with integrity
