Sales & Marketing Coordinator

 

The scope of the role is to coordinate the design, implementation and delivery of key customer meetings, exhibitions, events and internal and external meetings on behalf of the marketing and sales team for the region, including Training & Educational courses. Act as a project manager/coordinator throughout the event planning process managing all planning and logistics, from beginning to end. Also, Responsibility for coordinating, planning, and implementing all aspects of meetings to assure successful events. Acts as corporate meeting planning resource and internal consultant and implements effective processes to maximize meeting spend and mitigate risks. 

 

Key responsilbities:

  • Coordinate and support sales activities for distributors and end user customers.
  • Monitor sales performance and identify opportunities for growth.
  • Assist in managing customer inquiries and provide timely support to dental clinics, laboratories, and other end-users.
  • Maintain regular communication with distributors regarding product updates, pricing, promotional campaigns, and sales materials.
  • Develop and maintain a rolling 12 month calendar with all external and internal events where the organisation will engage with customers and potential customers. These include, but are not limited to trade events, dental exhibitions, PEERS events, Training & Educational events, Sales rep meetings, KOL meetings sponsored or organised by Dentsply.
  • Manages and coordinates a meeting plan by capturing comprehensive meeting requirements from the relevant meeting sponsor and then translates into tactical plans. Develops and drives major task project milestones.
  • Organise internal sales & marketing meetings.
  • Manages and supports events & courses, including the management of materials (ie training kits) and motor replacement
  • Co-ordinates Clinical Education programmes focusing primarily on operational support, data management, invoice approval, OPL payments, PPSA data recording.
  • Manages the processing and storage of physical and electronic materials incl. advertising, sales literature, Sharepoint content.
  • Defines and manages all tactical elements of the event, including but not limited to: logistics, registration, location, travel, staffing and schedules, technical support, collateral/signage production, theme adherence, creative execution, speakers, and on-site execution of all managed functions, budget management, site selection/contracts, vendor assessment/negotiation/management.
  • Partners with managers to develop, manage and accept budget accountability for meetings. 
  • Partners with meeting sponsor (CE/KOL Associate) to capture requirements and prepare meeting specification sheets and review contracts. Maintains information and data on past events to provide accurate event history and complete/concise request for proposals.
  • Provide support for regional and location Clinical Educators, working in liaison to obtain annual plans for events, grants, training days etc. and support course registration.
  • Manage the regional clinical education hub email account, taking appropriate action where required
  • Academy – build and manage content for the relevant language component of the Academy, working with the system vendor, OPLs  and other regional meeting planners; to ensure transparency and cohesion when booking and arranging events.
  • Interacts with key internal customers, and acts as the Dentsply Sirona ’ contact for all participants.
  • Assess hotel sites throughout the region, making site selections, negotiate and implement hotel contracts, coordinate meeting rooms, accommodations, and meal/menus; Secure entertainment; negotiates and implement contracts for welcome receptions, evening events, etc.
  • Train the Trainer – Work with SBUs and local PSM teams to co-ordinate dentist training programmes.
  • Propose and support regional and local team execution of University programmes, aligned to commercial needs. Manage receipt of dealer orders, review, approve and coordinate with customer service.
  • Provide monthly CE statistical analysis and generate information from data, splitting into products and regions for managers, SBUs, and the Leadership Team.
  • Build maintain and co-ordinate the upkeep of the OPL database.
  • Manage the coordination and generation of clinical materials e.g. case reports, photographs and videos.
  • Supports dealers within on-going marketing needs and activities (delivering graphics, materials, brochures etc.)
  • Research and network to increase knowledge and understanding of current meeting/hotel/CE industry trends while gaining fresh ideas to enhance meetings
  • Develop Corporate Meeting policy in conjunction with key internal stakeholders including Finance, Shared Services, Procurement, etc.
  • Manage and coordinates all aspects of meeting planning function including development of departmental and Company best practices, budget management and coordination of key Corporate meetings
  • Attend overseas exhibitions/meetings as required

 

Requirements:

  • Proven track record of excellent negotiating skills
  • Event Management experience 3 years+
  • Contract review experience
  • Ability to maintain a high degree of confidentiality
  • Strong working knowledge with MS office, including MS Word, Excel, PowerPoint, and Outlook
  • Ability to manage projects and mobilise project members
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public
  • Ability to deliver against plans
  • Excellent communication skills – written, verbal and presentation
  • Professional with proven ability to build appropriate relationships with internal and external key stakeholders
  • Self-motivated, conscientious with a desire to exceed
  • Displays initiative and enthusiasm for their role and company

This role is for fixed term contract - maternity leave cover.
